bake sale: cakes, cookies, pizza and anything you can make at home sponsor a movie...like for example, let's say you are sponsoring money for the research abt autism...get a movie abt autism and play it in your school movie theatre and get pple who want to help your cause to pay tickets organize a theme party in a cool hangout place where kids usually like to be on a Friday night or Saturday...talk to the owner to cut you some slack with the prices so that you can make money out of this evening (tell him it's like free publicity or smtg and that he will be helping a cause...)...u can get some free food or drinks from the owner that you can sell to the pple coming garage sales...get the pple who are with you in the organization to donate whatever they don't want anymore and that you can sell...do it on school premises by getting a special order from your principal

This is a question given by a lot of fundraising directors, and it's not always easy to answer.

That's because, in a perfect world, every fundraising letter would be exactly as long as it needs in order to ask for a donation and explain the need. It must be a suitable length. However, we cannot find the perfect length for it.

 

 

But when was the last time you got the sense that the world was anywhere near perfect?

 

In the real world, fundraising direct mail has to work with a lot of constraints, not the least of them is the addressee's attention. Fail to write enough, and you're probably not going to raise much money; go on too long, and you run the risk of losing the reader.

 

After a bit of trial and error, I've come to the conclusion that the ideal length for fundraising letter - one that's sent via mail, not electronically or otherwise - is right around 2 to 4 pages. Of course, there are times when you can get away with more or less, but here are four reasons why most of your fund raising letters should be right in that length:

 

It has a much higher chance of getting read. You can't get donations if you can't keep attention, and an excessively long fundraising letter is likely to get put aside to be read at some other time... or skipped over altogether. You want prospective donors to pick up your letter and feel like it's only going to take a moment to read - and it should.

 

It keeps costs down. The other side of the coin is just as important. The whole point of fund raising letters is to raise money for your cause, not spend a small fortune on postage and printing. Shorter letters, when you factor in the hundreds of thousands of people on your mailing list, make economic sense.

 

You can ask for what you want... If you can't tell people what you're asking for in two pages or less, and why, then you haven't thought hard enough about what you're trying to accomplish. That's plenty of space to ask for a donation, and then explain how you are going to spend it.

 

It forces you to be succinct. Sometimes, the notes I get from fundraising directors go eight or ten pages deep. That's great, in terms of background information, but it's too much to send to most prospective donors. People don't even have time to keep up with their own lives; they need "highlights" on the news, and e-mail, and in every other area. Take that knowledge to heart and keep your fundraising letter to a length that's easy to read and act on.

 

I always like to say that the perfect fundraising letter isn't the one that's the "best written," but the one that helps you meet your financial goals. Two to four pages might not be everything you want to say, but it should be enough to gather the funding you need.

The terrorist-linked Dar al Hijrah Islamic Center held their annual fundraising banquet this past Saturday April 3 at the Fairview Park Marriott in Northern Virginia. Seven Virginia elected officials were featured as invited guests on the advertisement for the fundraiser. Starting on February 17 we notified those seven officials about the terrorist links of Dar al Hijrahs past and current imams and congregants. Two of them, Senator James Webb and State Delegate Kaye Kory, had their name removed from the flyer in the weeks following our notifications. Yet on the eve of the fundraiser, the remaining five - Governor Tim Kaine, Conressmen Gerry Connolly and Jim Moran, and Fairfax County Supervisors Penny Gross and Sharon Bulova kept their names on the invitation. On Saturday, concerned Virginia citizens including the Virginia Anti-Sharia Taskforce (VAST) and Act for America held a protest outside the hotel. Two local community members, who had purchased confirmed tickets days in advance, and had registered, and been issued nametags at the door, were later ejected by security guards before they could even enter the event. Earlier I wrote an article on the 7 steps of a fundraising letter, that one has been so popular I thought you might like more. This is the second in a series of articles that explores each of those 7 steps in greater detail.

Step #2:  Writing a letter that works.  Writing a letter that gets results is challenging but fun. Follow these basic steps and you can write a great one. If writing is not your thing be sure you have someone else proofread (you should do that in any case) and allow them to correct your grammar and make changes.   

1.  The greatest investment of your time and creativity will be in getting the right start for your appeal letter. So don't start at the beginning. Write the heart of the letter including an update of your organization, your recent successes and plans for the future. Refer to information or pictures available on the website. Be honest, compelling, even a bit emotional. Speak directly to the reader. Keep the tone personal and engaging. Remember, you are going for a long letter, not a terse one (reminder: long letters are proven to work better).  Make a clear case for why you need money and what it will accomplish. Remember Vision, Mission, Goals. Share your vision and the dream of reaching it, talk about your mission - what you are doing day after day and let the reader see how your goals are reachable, with their gifts.  Do not get bogged down by explaining logistics, operations, philosophy or other details of your work. Most readers want to know that you have identified a need and know how to fill it.

Explaining details or criticizing other approaches just derails the conversation and will not help you get results. If you have a regular presentation or Tour, invite them to come and learn more but don't use your appeal letter for that purpose.

2.  Once you have that down, the opening may come naturally. If not spend some time exploring the possibilities. Here are some directions to take:

Use a compelling quote.  State a startling fact. Tell a personal story. Share good news. State a heartbreaking statistic. Refer to the insertion.

Example: I created a fundraising letter for an organization that provides temporary shelter for the homeless. We inserted a garbage bag in each mailing. The opening line was: "Imagine everything you owned fit in this bag."

Start a conversation. 

This is the example I used in the previous article: "Yesterday I received a call from the head of the state's Department of Human Services. I was flattered and a little surprised that she would be calling me. Unfortunately, the news wasn't good. After telling me how much she admired our initiatives and was impressed with our year-end results, she let me know that the budget for our programs would be cut..."

3.  The reader may not read every word but they will read the opening and the signature. The person sending the letter should be known and respected or at least have a title that is credible. If you are writing the letter for someone else's signature, speak with that person's voice as much as possible.  If you can, hand sign the letters. If not, put a scan of the actual signature in the file so it prints like a handwritten signature. Use blue for the signature and black type for the rest.

4.  After the opening paragraph, the postscript is the most often read part of the letter. That's why you'll always find at least one at the end of a direct mail letter. Your PS should be a strongly worded call to action. Send the reader to your website to make an easy (really easy) donation. Or invite them for a Tour or offer an incentive for a quick response.

  Your letter does not have to be on letterhead. Something that looks like personal stationary is ideal. The size could be smaller than 8.5 x 11, again so it looks like stationary. The envelope should also give the appearance of a personal letter. Use a common, easily readable font like Times Roman or Bookman. You can create and print your letter in-house if you have the capacity.

When it comes to running a non-profit organization, it doesn't matter if the economy is good or bad the fundraising must go on.

For nearly nine years I volunteered with a youth sports organization in New Jersey. Five of those years I spent as president and it wasn't until I took that role over that I truly understood the value of fundraising.

Although our particular organization charged a registration fee, that fee (along with a subsidy by the township government) only went so far. So in order to make up for the shortfalls you had to do fundraising.

We did them all from selling candy, to hosting sports tournaments to selling raffle tickets, you name it. But the most successful fundraiser we had was the pancake breakfast buffet. It was so successful that it became a yearly event for our organization.

The way it worked was you would sell business card sized ads for twenty-five dollars each that would be printed on the placemat that would go under everyone's plate at the breakfast.

On a side note the ads that worked the best were the ones that were coupons.

We brought a local printer on board to cover the printing charges and in return he received advertising on every placemat as a border ad and five free tickets to the event. Well worth the trade if you ask me. There was no limit on the number of ads you could sell, we would just create more placemats and have our printer produce what we needed.

The tickets to the event were five dollars for adults, three dollars for students and seniors and kids under twelve were free. With the help of a local church we were able to use their recreation hall to do our cooking and serving of the customers.

The food was simple.

We served pancakes, sausage, coffee, tea, orange juice and water. That is it. Anymore and we mind as well be called an IHOP. We set it up buffet style so the customers would serve themselves and they could eat as much as they wanted.

The food was all donated by members of our league so we had no costs there. Of course we did all of the labor, the cooking, cleaning, and so on, so we didn't have to pay anyone for that either.

By the time we had tallied our final receipts we had made a little more than five thousand dollars, which may not sound like a lot to larger organizations, but for our small non-profit group it was money that paid for everything we needed.

Before you get into selling candy or magazines or whatever, consider a pancake breakfast buffet. If organized correctly to reduce your costs and get everyone in your organization involved, you can far exceed the dollar amount we earned, regardless of what economic conditions your area is in.

The best fundraisers are when everyone wins and it does not seem like a charity event at all. You want to have clean fun, enjoyment had by all, and competition. In the end everything benefits the school and students. It is always fun when teams compete, like: boys against the girls, basketball against the football team, swim team against track, cheerleaders against the drill team, chess club against the science club, etc. It’s always fun to see what team can win the most money. Start out with a theme and go from there. You can have walk-a-thon, flag football (girls and boys), lunch time dances (student pay a fee to get in). Fashion shows for the guys and the girls bid on the boys for a lunchtime date. The girls must make a picnic lunch for the guy she bided on and won. Noontime fashion show for the girls, the catch she must make her own outfit, again a fee to attend. Lastly, you can have a talent show, have several contests, one for rock, pop and hip-hop. Noon-time events are the best, nothing is off campus and the teachers can volunteer as chaperons. I hope some of these ideals help. Good luck

Fundraising letters - asking for support from business - are often an important part of any fundraising campaign. Getting them right is crucial. The work that goes into a letter however should start long before you sit down in front of the computer.

The best strategy for small organisations is to carefully target their fundraising requests and the key to a good fundraising letter is research.

So what research should you do?

Find out about your own supporters. - Who are they? Where do they work? What contacts do they have? Keeping volunteer records with a simple question sheet for new volunteers to fill in is an easy way to collect and save this information. If this is not possible simply make sure that you really get to know your volunteers. Talk to them, ask them about what they do and the companies they work for.

Smaller companies are often great prospects for gifts in kind.

Your volunteers can be the key to making that contact. At the very least they can often find out the contact details of the person at their organisation you should be getting in touch with. A personal recommendation from a staff member with any request will also help it carry more weight.

Find out about the companies you think might help you. - Why do you think they are a good prospect? Have you seen them support other groups? Do they have anything about charitable giving or sponsorship on their website. With larger companies this information is often listed under Community, CSR (Corporate Social Responsibility) or Sustainability. Do they have a Foundation (charitable giving department)? You may actually find guidelines for how to approach them for support on these web-pages.

Sometimes a simple phone call to reception will help you identify the right person to write a fundraising letter to.

It really does make a difference getting your letter to the right person so try not to skip this step.

Is it a local request? Some companies might only offer help to non profit causes in their immediate locality. This is especially true of smaller organisations who tend to focus very much on their local areas. Some larger organisations will split their charitable efforts between bigger causes but also have special funds etc for local charity groups and community sponsorships which are popular with their own workforce.

Use your research - Your research will help you tailor your fundraising requests. There is no point asking a small company for a major cash donation but they might be great for an annual raffle prize, sponsorship of cup for a challenge event or advertising in a newsletter.

Similarly a bit of research might reveal a company's charitable giving strategy that your organisation could fit to a tee for a nice big sponsorship package! (Well we can always hope!)

Having realistic expectations based on your research is an important part of the process. Tailor your request to the company you are approaching.

Keep a record - The final point to make about research is how to keep it. It really is worth setting up either a simple little database or recording information in a records book. This really doesn't have to be complicated. A simple excel sheet with contact details is the start. Add a few details about the company. Then simply record any correspondence. This will help you keep on top of your fundraising letters and company replies and prevent duplication of requests. It also means that your work can be used and added to by others.

So good fundraising letters begin with research and end with administration! - But you will find spending the time on this is the key to success.

The best thing I can think of for you is to go around frequently to your family members, co-workers, friends, neighbors and so on and collect as many used cell phones and ipods as possible and then visit: http://www.cellitused.com and sell the phones to this company. I think they even buy broken phones and ipods as well. If you send them phones every couple weeks then you can probably make $ 300 + a month, depending on how many you send them. It also looks good because you are trying to help the environment as well (good selling point when you are asking people for thier old phones). Hey there...here's some ideas! I've been heavily involved with nonprofit fund raising for years....so here are some ideas I have that could be relatively low in cost for your cause... 1) Consider a mail campaign - depending on how many mailing addresses you have, you never know how many people might respond to your cause and just write you a check! This works amazingly well for several organizations that are short on time AND resources. 2) Consider running an online auction - this is an AWESOME way to get to the people whose mailing addresses you don't have (ie you've got their EMAILS)...your email base can feel like they're using their expendable income on great stuff AND its going to their community at the same time! I've included a link of one of the online auction companies that I've worked with...cMarket. They also have another website, BiddingforGood.com, that opens your auction up to all their members so that people who you don't even know can donate to your cause and bid on your items! 3) Instead of having a garage sale at your home, try having a "garage" sale on eBay! Think of it as a virtual way to get rid of some stuff AND make a little more money...(make sure you include the cost of shipping those items online or else you'll end up losing money!). 4) Have a fundraising event - give people in your community something to look forward to, and host a gala....you can sell tickets, have an auction, raffle prizes, etc that will give your church something to look forward to AND a perfect opportunity to donate to something they care about. 5) One last tid bit - consider selling sponsorships for your event...this can help off set some of your cost INCREDIBLY. It is not non profit it is IRS 501(c)(3) you need to worry about. Call CPA society and see if someone will do it for you for good cause pro bono.

No, you don't need to file a non-profit tax deductible status for this one event. You just have to make clear to people that donations are not tax deductible. Frankly, they wouldn't be, anyway. When people get a benefit, like a dinner or an item, even if it was donated, they get a form back that says, "You paid $ 200 for this painting. The actual value was $ 300. Therefore, your contribution is not tax deductible." Even when you get a mug from PBS, they have to tell you the retail value, even if they paid wholesale for it. I have already gotten permission from the store owners/managers to do this, so that's handled. But I have also sent off for catalogs (from justfundraising.com) so that I can sell cookie dough, candles, holiday items and what have you. I have seen kids sports teams doing this all the time and I know that they're not a 501c3, so I'm thinking I shouldn't have any legal problems in this area. Am I right? As far as being taxed, will the money I raise from donation jars and selling the cookie dough be taxed? Do I need a license before I can sell the cookie dough? I will probably be setting up outside WalMart and stores like that so that people can place their orders. And since I'm trying to raise money to pay for the costs to achieve 501c3 status (and to raise funds for the cats in our rescue) do I need to post this or tell people this when they come to place their orders? In order to start a nonprofit organization, you need a board of directors. You will need to register as a corportation in your state. Many organizations which have not yet received 501(c)3 status find a 501c3 organization with a similar mission to act as their fiscal agent. For example, you might look for a similar organization in another community to help you with this. Any donations should then be tax deductible. As long as you don't have a fiscal agent, you should probably inform donors of larger amounts of money (preferably in writing) that their deductions are not tax deductible. You can do this when you write them thanking them for the donation. Once you get your tax exemption, however, they can then deduct their previous contributions. Probably you won't run into any problems with the Federal government over putting out jars for donations or selling items in the community. You may, of course have to pay income taxes on the money. There might, in addition, be a state law requiring you to collect sales tax or requiring a permit to solicit donations. For all of the reasons discussed above, it would be good to achieve 501c3 status, or at least find a fiscal agent, as soon as possible.
